How to create a document
Step 1
When you first open BigHand you will need to click on the “Transcription” folder relevant to your specialty.
Step 2
Double click on the dictation to open.
Step 3
When first starting a new dictation, view any notes from the clinician by double clicking on the red triangle located on the play bar and clicking the Details icon at the top of the window.
Step 4
This will display any notes that the clinician has added and which may need to be passed onto the Patient Pathway Co-ordinator (PPC). You have the option to add additional notes if you wish.
Click on OK to close.
Step 5
In order to create a document click on the red star to open the Profiling Information window
Step 6
Once the Profiling Information window is open, double check to ensure the information filled out is correct and accurate i.e. MRN, Patient Surname, Speciality etc.
Once finished, click on the Word document icon at the bottom of the window to create a word document.
Step 7
Proceed to type your document as normal using the Word Document window and template.
This may take a few seconds for the patient information to load.
Once finished, simply Save and Close.
Step 8
You will notice that the document is now attached below the dictation in the Attachments field. This is now ready to be sent to the clinician as necessary.
Click on the In Progress icon and select Send for Approval
How to correct rejected dictations
Step 1
A rejected dictation may appear in your work list, to access Click on the “Speciality”-Corrections folder.
This will include items that the clinician needs amending before being sent, or may have been re-dictated whereby the letter is no longer needed. If no reason for the rejection has been given, this should be followed up with the clinician for clarity.
Step 2
Double click on the dictation that you wish to work on.
Step 3
The “BigHand for Healthcare Player” window will then appear. This is where the clinician may have added a note as to why the dictation has been rejected.
Notes can be viewed by double clicking the red triangle for Bookmarks.
Notes may also be attached as Notes.txt. This indicates that the letter has been viewed and either approved or rejected using a mobile device (phone) via the BigHand Go App.
Notes.txt will contain a list of instructions that are required to be actioned. Clinicians can approve or reject letters from mobiles but cannot edit or amend a document from a mobile.
NB: Notes may also be added within the letter itself. As clinicians are able to open and approve on their PC.
Step 4
There are the two different formats when viewing Notes.
1. via a Notepad or
2. via the (Enter) Bookmark (Detail) feature.
Click OK once you have noted the actions from the clinician.
Step 5
Once the document has opened, make the necessary amendments that have been noted in either the Notepad or Bookmark.
Save and Close
Step 6
Once the document has been amended as per the clinician notes, Click on the In Progress icon and select Send for Approval.
How to print dictations
Step 1
Once a document has been transcribed and approved by the clinician, it will then need to be printed by a member of the support team and sent to the Addressee.
To access the letters that are ready for printing, select the Specialty-Print folder.
Step 2
Double click on the required dictation to open.
Step 3
Double click on the word document file located in the Attachments field
Step 4
Click File then Print as required and follow the EDM step (on next page).
Step 5
Once saved on EDM, click on the In Progress icon and select Complete.
Saving letters to EDM (Electronic Document Management system) from BigHand
Once your letter has been printed: Use the mouse to highlight and copy the document.
- Open EDM, input patient MRN
- Create letter as usual – using the BG-BigHand template in EDM for ALL letters located in the Cardiology Speciality
- When the document is open, paste the letter into your template, save and close.
- As the document has already been printed in BigHand this process is to save the document into EDM so the letter is available to view in the patient records
- Save and mark as “sent” immediately in EDM
Once you have completed this step, remember to go back into BigHand and mark as complete.
To view Approvals Folder
In order to view the Approvals folder for the entire speciality, please use the following process:
Click on the + sign next to name of the speciality to expand
You will now be able to see all of the folders for the speciality, click on Speciality – Approvals.
