Overview of Teams Calls
There are the Teams calls we know and love- both video & audio that everyone can take advantage of and then there are teams calls using a dial pad, converting your MS Teams apps into a fully mobile piece of software - pardon the pun 😛!
Calling options for all Teams basic users
Make or answer a call from anywhere
Select either Video call or Audio call . Any call can be a video call or an audio-only call. It's always up to you.
Answering a call is simple too. Just select Video call or Audio call when prompted. When someone calls you, you'll get a notification that lets you accept or decline the call.
Turn a chat into a call
With one click, you can make any chat into a call in Teams. When you're in a chat, select Video call or Audio call in the upper-right corner of Teams. The person you are chatting with (or the people, if it's a group chat) will receive a call from you.
Make a call from your call history, speed dial, voicemail, or contacts
Access your call history and quickly call anyone back from the list. Go to Calls and review the History section in the center of the screen. Select any item from the list and then choose Call in the Details section on the right side of Teams.
From your speed dial, you can quickly call people that you previously saved to this list. To access your speed dial, go to Calls and then find the Speed dial section on the right side of Teams.
From your voicemail, you can quickly call back anyone who left a message. To access your voicemail, go to History and select the Voicemail button in the upper-right corner. You can call someone back from your voicemail by selecting More actions next to their name > Call back from the call history list, or by clicking Call under the contact details.
-
To view your contacts, click Calls > Contacts in the upper-left of Teams. From here, you can call anyone by selecting Call to the right of their name.
Calling options for Teams Phone Standard users (dial pad users)
Please note, we no longer offer MS purchased 01908 numbers in Teams, we only set up or migrate Trust numbers starting 01908 99XXXX. Please see the linked solution: Make yourself more mobile...use your desk phone ext in Teams! if this sounds like something you would be interested in.
Use the dial pad
In addition to the above, if you also have an additional Teams Phone Standard license enabled, you can call anyone from Teams, using a full DDI or extension - for example to call our IT Service Desk would be 901908 997000 or 87000.*
Note:you MUST dial 9 to get an outside line, just like you would on a desk phone.
To dial a number from Teams, go to Calls , and then enter the number of the person you want to reach by using the dial pad located on the left. Then click Call .
You can also type the name of an internal person or saved contact and call them from the dial pad.

Set up call forwarding
To start forwarding your calls, select Settings and more next to your profile picture at the top of Teams. Then select Settings > Calls.
Under Call answering rules, choose Forward my calls, and then select where you want your forwarded calls to go: voicemail, another person, or a call group.
You can also find these settings (whenever you're in the Calls area) by selecting Don't forward (or Forward to voicemail, etc.) in the lower-left of Teams.
Tip: Learn how to set up a delegate and forward your calls to other people or groups. Video link below.
Note: If you don't see any options for call forwarding in your settings, it's likely that you don't have a Teams Standard Phone User license. Also note that it can take up to 24 hours for changes in licenses to take effect.
-
Set up call forwarding to a call group
Under Call answering rules, select Forward my calls.
In the Forward to menu, select Call group.
-
Under Add people, add the people you want in your call group. You can add up to 25 people. Anyone you add will get a notification:
Note: You need to add people from your organization. Phone numbers are not supported.
Go to the Ring order menu and select All at the same time to ring everyone simultaneously or In the order above to call people in order in 20-second intervals. If your call group has six or more people, incoming calls will ring all of them at the same time.
-
Group call pickup is less disruptive than other forms of call forwarding because recipients can choose how to be notified of an incoming call in their settings and decide whether to answer it.
Note: Mobile devices will only get call group notifications if they're set for banner and ringtone.
-
Set up simultaneous ring
If you want your incoming calls to ring you and someone else (such as a delegate) at the same time, you can set that up in Teams.
Select Settings and more next to your profile picture at the top of Teams. Then choose Settings > Calls. Under Call answering rules, select Calls ring me. Then click Also ring and select where else you want your calls to ring: another person, no one, or a call group.
Note: If you don't see any options for simultaneous ring in your settings, it's likely that you don't have an Enterprise Voice or Business Voice license. Also note that it can take up to 24 hours for changes in licenses to take effect.
Set up simultaneous ring in a call group
Under Call answering rules, select Calls ring me.
In the Also ring menu, select Call group.

Under Add people, add the people you want in your call group. You can add up to 25 people.

Go to the Ring order menu and select All at the same time to ring everyone simultaneously or In the order above to call people in order in 20-second intervals. If your call group has six or more people, incoming calls will ring all of them at the same time.
