Name Change Process
In order to change your name on IT Systems and Smartcards, we are required to see proof of the name change (Marriage, deed poll certificate etc). There are two steps to the process of us verifying the document, firstly we require the document to be uploaded onto the Fresh ticket, once we have assessed that it is a document we can accept, you will be asked to show us the document in person, so we can ensure the document is genuine. All documents provided need to be originals and not copies.
Once the document has been verified, we are ready to proceed with the name change on all the accounts.
Your email address*, username(s), and name on your Smartcard will need updating.
*Your old email address will be retained on the account, but your new email will be set as the default. If this is not something you wish to do, then please let us know.
Please note that changing your name can result in system disruption for 24-48 hours as various systems are updated and synchronised. To limit the disruption to your IT access, we let you decide when would be appropriate to action the change itself.
Once completed, new smartcards can be printed and collected at the IT HUB. Witan Gate staff can collect their Smartcards from the Service Desk, we will notify you when the card is ready for collection.
Gender Change
For staff that are transitioning, we will happily discuss how best you would like to proceed. There are two main options available for changing your name on the systems however they can be tailored to your individual needs.
Option 1 - Rename your existing account.
You can retain the old email address if you would like.
You would be able to keep all data associated to that account in your OneDrive and mailbox.
Update name and photo on Smartcard Profile.
Option 2 - Create a brand-new account for you,
All ties with your previous name would be cut, unless of course you would like your old email address retained on your new account.
We would give you some time with access to both accounts, to ensure you have all the data you would like to retain
When you are ready, we will delete the account and all associated data.
